We like talking to people, and we hope you like talking to us. We’ve put this little info packet together to let you know what we do with any data you give to us and its uses within UK Detailing LTD, or UK Detailing Academy.LTD
Cookies:
The only cookies used on the website are for Google analytics, and our website provider’s metrics (which we’ve never looked at) we use this anonymised information from Google to see if there's a particular surge of traffic from a source, such as an advertising campaign or referral, or to see if there's anything we can do to improve the flow of information on the website. That's it.
Email addresses:
Fairly obviously, if you contact us via email, give us your email or use the contact form on our website, we will have your email address on record. These will be stored on our password protected email server for around 4 years, at which point there's little chance of us needing to speak, so we’ll delete at 3 monthly intervals anything before that time-frame. The email address may also be held on our accounts system linked to an invoice/account if we have completed work for you in the past. As our invoicing needs to be held for 6 years for HMRC audit purposes, we delete anything older than that,with batch file deletion occurring on a 3 monthly basis. . If you have come to us several times, the latest invoice date would be the start of that 6 year cycle.
We don’t bother people with marketing emails, except where we’ve been specifically asked to send a reminder when a particular service is due, but if we’ve responded to an enquiry and not heard anything back, we may, on occasion, send one further email to confirm you’ve received our correspondence, we won’t send anything after that, though our feelings may be hurt a little bit…
Personal details:
Any personal information – addresses, phone numbers, etc. sent via email will be stored and disposed of in the same manner as the email addresses above, in the same time frames unless otherwise notified. Merchant copies of card receipts, on which no information directly relating your financials are printed, are kept attached to invoices filed in our offices, and purged after 6 years, with batch file deletion occurring on a 3 monthly basis.
Hard copies:
Sometimes we like to be nostalgic, and if you call us we may scribble a note on a pad with personally identifiable information such as your name, contact number, car registration/colour code, etc. Whilst our handwriting is illegible enough to put a doctor to shame, as an added security step, we will now be shredding any hard copies of information after 3 months to destroy the evidence of both our poor handwriting and your interaction with us. In some cases, this information may be transferred to an electronic copy, such as a calendar or accounting software, in which case it will be treated as the personal details above.
Financial details:
We don't store these, except for that one Nigerian prince’s, who keeps trying to get us to send him “inheritance release funds”...
Your “right to be forgotten”
If you want to be forgotten; perhaps you have a canoeing “accident to stage” only to reappear after the insurance has paid our with memory loss, or you just don't want any chance of your significant other finding our exactly how much you spend on your car, you have that right. Just send us an email with the heading “forget I exist” along with your name, email address and any other relevant information we may need to search for to [email protected] and within a week we aim to have purged your very existence from memory – in the nicest way possible.
